1. Scope
These Terms and Conditions apply to all bookings of Martina Kuhlmann as a speaker, trainer, moderator or workshop facilitator at events (talks, seminars, workshops, webinars, conferences, congresses) of any kind and size. Any deviations require written consent. The organizer’s terms and conditions apply only if Martina Kuhlmann has expressly accepted them in writing.
2. Fees and Expenses
2.1 Fees
The agreed fee is a net price and is subject to value added tax (19%). The fee structure depends on format and duration: short talk (20–30 min) from EUR 1,200, keynote (45–60 min) from EUR 2,500, keynote + Q&A (60–90 min) from EUR 3,500, masterclass / workshop (90–180 min) from EUR 4,500. Early booking discount: 10% for bookings made more than 6 months before the event.
2.2 Additional Costs (in addition to the fee)
The fee does not include the following costs, which are borne by the organizer: travel costs (car, train, flight), accommodation costs (if required), meals on the day of the event, costs of briefing appointments, as well as arrival and departure.
2.3 Payment Terms
- 50% of the fee is due upon booking confirmation
- 50% of the fee is due no later than 7 days before the event date
- Travel costs and expenses are invoiced after the event
- Payment term: 8 days net, without deduction
- In case of late payment: interest of 2% per month, minimum EUR 10
2.4 Taxes and Levies
The organizer is solely responsible for paying any withholding tax on non-resident speakers (if applicable), contributions to the German artists’ social insurance fund (Künstlersozialkasse, KSK), GEMA music licensing fees and all other taxes and levies. The fee may not be reduced by these costs.
3. Contract and Booking Confirmation
Offers are valid for 30 days and are non-binding. The contract is concluded only when the organizer returns the signed offer AND Martina Kuhlmann issues a written booking confirmation. Amendments to the contract are only valid if confirmed in writing by both parties.
4. Cancellation and Withdrawal
4.1 Cancellation by the Organizer

In addition, the organizer shall pay in full any travel costs already incurred (flight bookings, hotel reservations).
4.2 Cancellation by Martina Kuhlmann
Cancellation is only possible in the event of serious illness or injury from an accident, force majeure or unforeseeable events, or a family emergency or bereavement. In this case, an equivalent alternative date will be offered, or all amounts already paid will be refunded in full.
4.3 Postponement
Postponements made more than 14 days before the event incur no costs. For postponements made less than 14 days before the event, a handling fee of 30% of the fee will be charged.
5. Technical Requirements
The organizer shall provide, at its own expense: projector and screen, microphone and sound system, flip chart and facilitation materials (if required), a standing table or lectern, drinking water on stage, and optimal lighting and acoustics. A competent technical contact person must be available at least 30 minutes before the start of the event for setup and sound check.
6. Recordings and Media Rights
Recordings (audio, video, photo) by the organizer are only permitted with Martina Kuhlmann’s prior written approval. Recordings may be used exclusively for internal archiving and documentation and for review by participants (for a limited time).
All materials, scripts and slides provided by Martina Kuhlmann are her intellectual property and are intended solely for internal use by event participants.
With the booking, Martina Kuhlmann permits the organizer to name her and the event as a reference on its website or in marketing materials.
7. Liability
Martina Kuhlmann shall be liable without limitation for intentional breaches of duty, gross negligence and injury to life, body or health. In cases of simple negligence, Martina Kuhlmann shall only be liable for breaches of essential contractual obligations (cardinal obligations), limited to the direct, foreseeable damage.
8. Place of Jurisdiction and Applicable Law
These Terms and Conditions are governed exclusively by German law. The place of jurisdiction is Hanover, Germany. Alternatively, disputes may be settled through mediation.
Should any provision be invalid, the remaining provisions shall remain in effect (severability clause).
